Improvement Cycle

For over 30 years, we have been gathering best practices that enable your clinic to make strategic, continuous improvement. On an annual basis, our medical groups experience the MedMan Improvement Cycle, which consists of the Practice Assessment Review (PAR), the Plan, and the ongoing execution led by our on-site Administrator:

The PAR

Current practices are reviewed against 800+ best practices, based on the 8 categories of MGMA’s Body of Knowledge. Sample best practices include:

Financial Management

  • Reports prepared by someone other than Administrator
  • Income statements and balance sheets available in a clear format for at least two years
  • Cash balances invested versus sitting in checking account

Governance

  • Enforceable restrictive covenants
  • Board Meeting agenda items designated as informational, discussion, or action
  • Department Meetings regularly scheduled and held at reasonable schedule

Human Resources

  • Documentation in Personnel records at end of probationary period
  • Employees are cross-trained so as to avoid dislocations due to unexpected loss of an employee

Information Management

  • Software maintenance performed by a substantial, reputable company

Operations

  • Written protocols for proper methods for full range of nursing services provided w/o direct MD supervision
  • Separate business office line that is printed on statements and used by patients
  • Patients are able to interact with the practice over the Internet
  • All of the physicians in the group agreed upon a standardized charting system

Planning & Marketing

  • Group has an Internet presence and patient information brochure that is current and readily available in the waiting room and front desk

Risk Management

  • Group has investigated ways to reduce the cost of malpractice coverage
  • Identified Fraud & Abuse Compliance Officer

The Plan

MedMan, the leadership of the Medical Group, and the Administrator come together to build a strategic plan based on the outcomes of the PAR.

The Execution

The Plan becomes the job description of the on-site Administrator, who leads the efforts to accomplish the plan over the next year.

The process is repeated annually, resulting in a continuous improvement cycle based on mutually agreed-upon priorities.
